1. Pomodoro Technique
Let’s start with one of the most popular time management techniques. Its application is very simple: for 25 minutes you will focus exclusively on a task. After this period, you will rest for five minutes, then return to work for another 25 minutes.
After working for 25 minutes three times, the interval will be longer (10 minutes, for example). During the minutes of rest, avoid staying in the same place. Get out and drink a glass of water, talk quickly to a colleague, etc.
This technique shows how more productive it is to dedicate yourself completely to something for a few minutes than to spend hours trying to multitask.
2. Kanban Technique
The Kanban technique is a very popular visual tool for managing inventory and improving workflows. However, it can be adapted to personal and professional life without major difficulties.
In this case, you must create three columns in a board. In the first column will be the tasks that must be done; in the second, the tasks that are being carried out; in the third, what was completed.
In the first column, you can sort the tasks by priority. Another tip is to set a task limit for the second column, such as one task at a time. That way, a new demand will only be added to this column when another one is completed.
You can use digital tools like Trello or Asana to create these boards. There are people who use “post-its”. Do what you think is best.
3. GTD Method
This method aims to turn scattered information into workable projects. This is because so many things that are said to leaders, ideas they have, or demands that are asked for end up not being performed due to lack of clarity.
This time management technique consists of following five steps. The first one is to collect all the information that comes to you. This can be done using a specific agenda, for example.
The second step is to clarify this information. Suppose you have collected the following information: “employee X resigned.” Next, you will wonder what actions that situation demands.
The third step is to organize. Continuing the example above, you can arrange a meeting with this employee to understand the reasons why they wish to leave the company. In this step you must do what is within your reach or delegate the task.
The fourth step is to reflect. That is, you will set dates (or other metrics) so that you can follow the progress of the project. For example, the employee in question said they would contact you in two days, but didn’t. In that case, you can send them an email.
The last step is the action itself. In our example, it would be the meeting of the leader with the professional whose exit from the company they wish to avoid.
